About the team
Right now, we have a permanent full-time opportunity for and administration assistant to join our Commercial Services Team within the Infrastructure and Place division.
The Infrastructure and Place division partners with customer divisions to develop and deliver transport infrastructure that our customers and communities need with a specific focus on sustainability. The team is agile in its approach to provide the best for Transport outcomes and promote thought leadership to drive continuous improvement and professional development opportunities.
The opportunity
The administration assistant is a key role providing high-level, efficient administrative support to the Executive Director Commercial Services and team by co ordinating administration and internal processes. As a valued member of the Commercial Services team the responsibility of the role includes:
- Coordinate and manage communications on behalf of the Executive Director and team
- Manage, collate, and distribute correspondence and documentation including reporting, presentations, briefings notes and ministerial briefings on behalf of the team
- Coordinate and maintain the Executive Director diary, including managing competing priorities, arranging meeting schedules, travel arrangements and monitoring emails.
- Creating and updating presentations and supporting documentation for senior management meetings
- Create and maintain files and documents adhering with records management procedures
- Oversee procurement activities, including raising purchases, reconciling, and processing invoices for payment.
- Provide a high level of customer service in the delivery of duties to support the organisation and meet customer’s needs.
About you
To be successful in this role you will be highly motivated and tenacious, with good organisation skills and attention to detail. You will enjoy working in a fast-paced environment with the ability to be agile and work within a changing landscape. This role is an excellent opportunity for someone looking to take ownership of the position and drive best practice.
You will have excellent verbal and written communication skills, comfortable drafting and co-ordinating responses on multiple platforms, and an ability to build relationships at all levels within the team and with wider stakeholder group.
Intermediate to advances skills in both Microsoft Word and PowerPoint are considered an essential requirement to be successful in this role.
This role would be a hybrid working arrangement from home as well as some days in the city centre offices and / or Milsons Point. It can also be a part-time opportunity for those seeking a flexible working arrangement.
Salary and Benefits
This role is Transport Service (Grade 4) offering an attractive salary ($77,370) – ($85,105) per annum plus superannuation and leave loading.
